The No-Panic Guide to Real Estate Cybersecurity

Let’s be honest: in real estate, your inbox is basically a digital gold mine. Hackers know this, and they’re betting on you being too busy to notice a fake link. But don’t worry—protecting yourself doesn’t require a computer science degree. Think of these steps as the “deadbolts” for your digital office.
1. Lock the Digital Front Door
Your password shouldn’t be your dog’s name. Use long passphrases (like PurpleCowsFlyAtMidnight!) and a password manager so you don’t have to memorize them. Most importantly, turn on Two-Factor Authentication (2FA). It’s that annoying text code you get when logging in, but it’s the single best way to stop a hacker in their tracks.
2. Don’t Take the Bait
Cybercriminals love “phishing”—sending emails that look like they’re from a title company or a client.
- The Golden Rule: If an email asks for a wire transfer or contains a weird link, stop. Call the person at a known number to verify.
- Public Wi-Fi is a No-Go: Never check bank accounts or send contracts while sitting at a coffee shop unless you’re using a VPN.
3. Keep Your Tools Sharp
You wouldn’t drive a car with bald tires, so don’t run a business on old software. When your phone or laptop says “Update Available,” do it immediately. Those updates usually fix “holes” that hackers use to crawl into your system.
4. Get It in Writing
Cybersecurity isn’t just tech; it’s a policy. Work with an attorney to create a Wire Fraud Disclosure for your clients. It warns them that you will never change wiring instructions via email. It protects them, and it protects your reputation.
Finally, check your insurance policy. Make sure you have specific “Cyber Coverage.” If the worst happens, you’ll want a professional team in your corner to help clean up the mess.
Stay safe out there!
